Comfort 360 Privacy Policy

Effective Date: September 28, 2026 (replaces the version effective September 1, 2026)

At Comfort 360, Inc. (“Comfort 360,” “we,” “our,” or “us”), we are committed to protecting your privacy and ensuring the security of your personal information.

In plain language: we collect only what we need to serve you, we keep it safe, and we never sell it. We use advertising tools from Google, Meta, and TikTok to measure and show our own ads (see Section 5). Your mobile phone number and your consent to receive text messages are never shared with anyone.

This Privacy Policy explains how we collect, use, disclose, and safeguard your data when you interact with our services, including our website, mobile applications, customer support channels, text/SMS communications, and any other platforms or services we provide for heating, cooling, and electrical services (collectively, the “Services”). This policy applies to all users, customers, and visitors of our Services.

By using our Services, you consent to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use our Services.

1. Information We Collect

We collect various types of information to provide and improve our Services, respond to your inquiries, and ensure a personalized experience.

Personal Information

  • Contact Information: Your name, email address, phone number, mailing address, and other details you provide when requesting service, registering an account, or contacting us.
  • Service-Related Information: Details about your property or service location, including photos or videos provided for estimates or service.
  • Communication Data: Text/SMS messages, emails, chat logs, or other communications you send to us or receive from us.
  • Payment Information: Billing details such as credit-card information (processed securely through third-party payment processors).
  • Lead Source Information: Data from third-party sources such as Google, Yelp, or referral partners.

Non-Personal Information

  • Usage Data: How you interact with our Services, including IP address, browser type, device details, pages visited, and referral sources.
  • Location Data: Approximate location, if you enable location services.
  • Cookies and Tracking Data: We use cookies and similar technologies for functionality, analytics, and advertising (see Section 5).

Automatically Collected Information

  • Log files detailing access times and system errors.
  • Analytics and advertising data from tools like Google Analytics, Google Ads, the Meta Pixel, and the TikTok Pixel.
  • Data from platforms we use—Intuit QuickBooks, Monday.com, and ServiceTitan—to manage your account and services.

We collect this information directly from you, automatically through your device or browser, or from third parties (e.g., service providers, lead sources, or financing partners).

2. How We Use Your Information

  • Provide, schedule, and complete services and maintenance.
  • Communicate regarding appointments, maintenance plans, warranties, or support.
  • Process payments and manage financing applications.
  • Analyze trends to improve our Services.
  • Measure which of our ads lead to real service requests, and show our ads to people who have visited our website (see Section 5).
  • Comply with legal obligations and enforce our terms.
  • Send marketing or promotional materials only with your consent where required.

We do not use your information for any purpose incompatible with these without your consent.

3. Sharing and Disclosure of Your Information

We value your privacy and do not sell or rent your personal information. We share limited information only with the service providers, financing partners, and advertising platforms described in this policy, and only for the purposes described here.

We may share your data only in the following limited situations:

  • With Service Providers: Trusted vendors such as Intuit QuickBooks, Monday.com, ServiceTitan, payment processors, hosting providers, analytics firms, and SMS platforms—each contractually bound to protect your data and use it only for authorized business functions.
  • With Financing Partners: If you apply for financing, necessary details may be shared with companies such as Wells Fargo, GoodLeap, or Turns, subject to their own privacy policies. Mobile phone numbers and SMS opt-in consent data are never included in this sharing.
  • With Advertising Platforms: Google, Meta, and TikTok, only as described in Section 5. Mobile phone numbers and SMS opt-in consent data are never included in this sharing.
  • For Legal Reasons: To comply with law, court order, or to protect rights and safety.
  • Business Transfers: If we undergo a merger, acquisition, or asset sale, information may transfer under equivalent protections.
  • With Your Consent: When you explicitly authorize disclosure. This does not apply to mobile phone numbers or SMS opt-in consent data, which are never shared with third parties under any circumstance, including with your consent.

We also do not permit our service providers to use your information for their own marketing purposes. Advertising platforms handle the limited data described in Section 5 under their own terms and privacy policies.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

4. Text Messages (TXT) and SMS Communications

If you opt in to receive text/SMS messages (for scheduling, service reminders, maintenance alerts), we collect your phone number and message content. We do not send promotional or marketing text messages. Standard carrier message and data rates may apply. Communications may be logged for quality assurance and record-keeping.

  • Opt-In/Opt-Out: You may opt in by providing your number and consent. To opt out, reply “STOP” to any message or contact us (see Section 12).
  • Frequency: Message frequency varies with your scheduled service, typically 3 to 6 messages per service job, or approximately 12 messages per year for maintenance agreement customers.
  • Help: Reply “HELP” to any message, call (360) 891-2665, or email info@mycomfort360.com.
  • Usage and sharing: Text/SMS data is used only to communicate with you about your service. Your mobile phone number and SMS opt-in consent are never shared, sold, or transferred to any third party for any purpose, including marketing. This is an exception to Section 3: none of the sharing categories described in Section 3 apply to SMS opt-in data.
  • Security: We use secure methods to transmit and store message data.

Full program terms are published in our Terms & Conditions.

5. Advertising, Cookies and Remarketing

We advertise our services on Google (including YouTube), Meta (Facebook and Instagram), and TikTok, and we may advertise on streaming TV services. To learn which ads lead to real service requests, and to stop paying for ads that don’t, we use measurement tools supplied by these platforms.

  • Cookies and Pixels: Our website and online estimate tool use small pieces of code (cookies, tags, and pixels) from Google, Meta, and TikTok. They record actions such as viewing a page, opening our online scheduler, starting an estimate, or submitting a request, and which ad, if any, brought you to our site.
  • Remarketing: We may also show our ads to people who have visited our website or started an estimate (remarketing), including on streaming TV.
  • Information Sent to Advertising Platforms: When you submit a request on our website, these tools may send the platform a record of it, which may include the estimated value of the work you asked about. If contact details are included, such as your email address, name, or ZIP code, they are first converted into an irreversible scrambled form (a one-way cryptographic hash). We do not send your phone number to advertising platforms in any form, scrambled or readable.
  • Booked Jobs: If you book with us after clicking a Google ad, we may tell Google that the ad led to a booked job, and the job’s value. We do this using the ad’s click identifier, not your name or contact details.
  • Calls from Google Ads: If you call us from a Google ad, or from our website after clicking one, Google may connect the call through a Google forwarding number so it can tell us the call came from that ad. Google reports the call’s time, length, and area code to us, and handles the call under its own privacy policy.

We do not sell your personal information. We do not give advertising platforms your phone number, your consent to receive text messages, the content of your messages with us, or your payment information. Advertising platforms handle the limited data they receive under their own terms and privacy policies.

Your Advertising Choices

  • Google: myadcenter.google.com
  • Meta: Ad preferences in your Accounts Center, accountscenter.facebook.com
  • TikTok: the Ads settings in the TikTok app’s “Settings and privacy” menu
  • Your browser: block or delete cookies, or use a tracking blocker (some site features may not work)
  • Your phone: delete or reset your advertising ID (Android), or choose “Ask App Not to Track” (iPhone)
  • Us: email info@mycomfort360.com with any question about how we use your information for advertising

Advertising partners we use today: Google, Meta, and TikTok. We will add any new advertising service to this list before we use it.

6. Data Security

We use administrative, technical, and physical safeguards—including encryption, secure servers, and restricted access—to protect your data from unauthorized access, loss, or misuse. No system is entirely immune from risk, but we maintain industry-standard protections.

7. Data Retention

We keep information only as long as necessary to deliver services, honor warranties and maintenance plans, meet legal requirements, or maintain business records. When no longer needed, we securely delete or anonymize it. Advertising platforms keep the data they receive under their own retention schedules, which we do not control.

8. Your Rights and Choices

Under applicable laws (including Washington and Oregon privacy laws, the TCPA, CAN-SPAM Act, and CCPA), you may:

  • Access, correct, or delete your personal data.
  • Opt out of marketing communications.
  • Request data portability.
  • Withdraw consent at any time.

To exercise these rights, contact us (see Section 12). For text/SMS, follow the opt-out instructions provided. You may also control cookies via your browser; disabling them may limit website functionality. For advertising choices, see Section 5.

9. Children’s Privacy

Our Services are intended for adults and not directed to children under 13. We do not knowingly collect personal information from minors. If such data is discovered, we will delete it promptly.

10. International Data Processing

We primarily process and store information in the United States. If you access our Services from outside the U.S., your data will be processed according to U.S. laws, which may differ from those in your country.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Updates will be posted on our website, and material changes will be communicated via email or text (if applicable). Continued use of our Services constitutes acceptance of the revised policy.
